A quotation is not admin. It is the first thing a client sees before they decide to trust you with their budget. A messy quote signals a messy production. A premium quote signals a premium studio.

At R Studio, we have been refining our quoting process for years… working with international brands, agencies, and tourism clients across Japan and overseas. What we learned is simple: the cleaner and clearer the document, the faster the client signs.

What a professional production quotation actually needs

There is no mystery to it. A solid quote covers six things:

A clear scope of work: specific days, locations, deliverables, and formats.
Not “video production.” The full picture.

Deliverables spelled out: final edit, photography, raw footage, each with its own specs and delivery timeline.

Pricing that requires no mental math: one grand total, tax included, no ambiguity.

A payment structure: deposit at signing, balance on delivery. Clear amounts, clear dates.

Basic conditions: ownership, revision rounds, cancellation policy. Not aggressive legal language. Just fair, clear terms that protect both sides.

And a signature block: so the client can confirm in writing.

That is it. Nothing more, nothing less.

Why we built this template pack

Every new project used to mean rebuilding the same document from scratch. Adjusting fonts, reformatting tables, rewriting terms. Two to three hours of admin before a single frame was shot.
